Answers about our engagement, services, and ongoing support for your business.

If you're performing tasks that are routine, repetitive, or feel like you're just "going through the motions", we can help.

You don't need to have all the answers. We analyse your existing processes, identify what's consuming time without adding value, and show you exactly where we can help.

The easiest way to find out is to get in touch. Walk us through a typical day, and we'll advise where we can help, for free.

If you or your team are spending significant time on these types of activities, a Workmate can likely eliminate or drastically reduce the effort spent:

  • Repetitive browser or spreadsheet work (invoicing, payroll, reporting)
  • Manual customer support responses
  • Sales follow-ups, booking confirmations, issuing invoices, or payment reminders
  • Data entry, extraction, or formatting across systems

Don't see your specific task? We identify opportunities by analysing your existing processes thoroughly, and provide insight on where, when, and how improvements can be made. Or if you've always wanted to create a new process but were not sure how best to implement it, we can take a look at it obligation free.

Most AI companies sell pre-built products: voice agents, workflow tools, chat bots that solve one specific problem. If your needs fit their box, great. If not, you're stuck adapting your business to their tool.

We do the opposite. We prioritise problems first and solutions second. The result is a solution custom designed around your existing processes, not another tool to manage. You're not buying another software platform, you're buying time back.

For quick, one-off tasks that take a few minutes and occur less than a handful of times a week, absolutely. Free AI tools work great.

If a task happens repeatedly, involves multiple steps, or requires specific business logic and data from your systems, ChatGPT can't help. You'd still be doing the work, just with assistance from AI.

Our solutions are designed for recurring, operational workflows where tasks can be replaced entirely. Instead of prompting AI manually, we design solutions that interact with your systems. We move you from "chatting with AI" to "having AI run your operations".

The difference isn't using AI, it's removing work entirely.

Not at all. This is a collaborative partnership, so what's helpful is an understanding of your processes in detail and a general sense of what you want to achieve (or what is consuming the majority of your time).

A hole in one for us is task removal. A process that now requires occasional review rather than routine execution.

Most clients see a working demo within 1 to 2 weeks. The pace depends on how quickly you're able to provide feedback during development. Faster iterations mean faster and accurate deployment.

Most clients expand naturally after their first solution is deployed, having more ideas on what can be automated. This is a common pattern: one solution leads to another, and another, until the business is running with minimal human involvement.

A common example: a client eliminates their invoicing workload, which frees up time to tackle customer onboarding automation. Both now run with so little involvement that attention shifts to automating customer support.

Every engagement has two components: a one-time build cost and an optional ongoing hosting and maintenance fee (which 100% of clients choose).

Build costs range from $2,000 and vary based on complexity.
Hosting and maintenance typically start from $100 a month depending on complexity. This includes dedicated support, bug fixes, monitoring, and requirement updates as your business evolves.

Why the range? Complexity varies. Some solutions involve simple data transfers, others require deeper integrations, higher processing volumes, or are heavier on AI usage.

Note: you own your custom solution and can self-host if you have dedicated technical resources, though we can't recommend this without dedicated IT support.

Every solution is custom built. Every business operates differently and integrates with different systems, so in our experience "off the shelf" solutions never provide optimal results, often forcing you to change your business to fit the tool rather than the tool working with your business.

That said, we maintain a wide range of reusable components and frameworks, so not every solution is built from scratch, which significantly reduces implementation time.

ALL AI usage includes safeguards and clearly defined decision boundaries before processing, whether that's cleaning, extracting, or creating data.

For edge cases or uncertainty, we design scenarios to pause, escalate, or flag items for review, often referred to as "human-in-the-loop". Instead of checking everything, you only review exceptions or anomalies.

No more running through a process from start to finish. Just focused review where needed.

Yes. Reliability is a key foundation for any software solution. Our role is to reduce overheads for you and your business, not increase them. We monitor uptime, performance, and errors continuously. If something needs attention, we handle it and notify you.

As long as we're made aware of business changes, we do. With hosting and maintenance (which all clients have chosen), we're your ongoing partner for reliability, technical issues, security, infrastructure, minor adjustments, fixes, and advice.

If something breaks due to business changes we weren't aware of, for example seasonal cycles, end-of-year processes, or policy updates, we'll work with you to understand what changed and fix it quickly.

Material changes that significantly alter scope or require new technology would require a new engagement. Routine updates, bug fixes, and minor tweaks are all covered with hosting and maintenance.

Immediately after launch we remain on heightened standby, also known as hypercare for at least a week to ensure the transition is seamless and you're comfortable with your new solution in your environment.

After that, we move to maintenance mode. From your end, nothing. If your business requirements evolve over time, you simply notify us and we configure your solution to adapt.

Complex new builds or a change in systems would require a new engagement.

The main limitations are with older, custom desktop programs installed on a single computer that don't run in a web browser. These systems usually can't connect to modern software, and software installed directly on your computer years ago may not be compatible with our automation tools. However, common programs like Microsoft Word, Excel, and Outlook work perfectly fine.

The other limitation is banking websites and applications. For security purposes, Australian banks are built to block external software from accessing them. For example, we can't create automations that log into your bank accounts and process banking transactions.
