Introduction
AI Workmates (“we”, “us”, “our”) is committed to protecting your privacy and handling your personal information in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, disclose and protect your personal information when you visit our website or contact us.
If you have any questions about this Privacy Policy or how your information is handled, you may contact us at: info@aiworkmates.com.au.
Information We Collect
We may collect the following personal information when you submit an enquiry through our website: your name, email address, business name (if provided), and any details you choose to share about your business, the processes you would like to improve, the tools you currently use, and the services you are seeking.
Personal information is collected via the enquiry form, and through contacting us directly via email or other communication channels.
We do not use advertising or analytics cookies, and we do not track your browsing across other sites. The only information stored in your browser is a single local storage entry that remembers your light or dark display preference. It stays on your device and is never transmitted to us.
When you submit the enquiry form, we receive the details you enter along with your IP address, which is used for spam protection.
How We Use Your Information
We use your personal information solely for the purpose of responding to your enquiry, communicating with you about the services you requested, providing information or quotations related to your enquiry, and maintaining and improving our services.
We do not use your information for marketing, newsletters, or unrelated purposes unless explicit consent is obtained.
Disclosure of Your Information
Your personal information is not sold or shared with third parties, except where it is necessary to operate our business systems (for example secure storage platforms, website hosting services, and messaging services used to receive enquiries), or where we are required by law to disclose the information. Access to your personal information is restricted to relevant users only.
Some of our service providers may store or process personal information on servers located outside Australia. Where this occurs, your personal information may be disclosed to overseas recipients in countries including the United States, or other locations where those providers maintain data centres (for example Google services and messaging platform providers). We take reasonable steps to ensure that any overseas service providers handle personal information in a manner consistent with Australian privacy obligations.
Data Storage & Security
We implement appropriate technical measures to protect your personal information from misuse, interference, loss, unauthorised access, modification or disclosure. Your information may be stored in secure online platforms used for enquiry notifications and storage, where only authorised access is permitted.
If a data breach occurs that is likely to result in serious harm, we will respond under the Notifiable Data Breaches (NDB) scheme in Part IIIC of the Privacy Act 1988 (Cth). Where the scheme requires it, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC).
When it is no longer required, we will take reasonable steps to securely destroy or de-identify the information.
Data Retention
We retain personal information only for as long as necessary to respond to enquiries and to conduct and improve our business. Enquiry information is generally retained for up to 24 months, unless a longer retention period is required for legal or operational reasons.
When it is no longer required, we will take reasonable steps to securely destroy and/or de-identify the information where reasonably practicable.
Access & Correction
You may request access to the personal information we hold about you, and request corrections if the information is inaccurate, out of date, or incomplete.
To make a request, please contact us at: info@aiworkmates.com.au.
Voice Demonstrations & Examples
If our website or demonstrations display voice samples or automation examples, they use synthetic voices or the business owner’s voice and do not contain real customer personal information. Any names, phone numbers, or addresses shown in such examples are fictional and used for illustrative purposes only.
Complaints & Concerns
If you believe that your personal information has been mishandled, or you have a complaint about how we manage your personal information, you may contact us at: info@aiworkmates.com.au. Please provide sufficient details of your complaint so that we can investigate the matter.
We will acknowledge your complaint and aim to respond within a reasonable timeframe, usually within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
Changes to This Policy
We may update this Privacy Policy from time to time. The latest version will always be published on our website.
